Synergy Advantage respects privacy and is committed to handling personal information responsibly. This Privacy Policy (the “Policy”) explains how Synergy Advantage and the affiliated entity responsible for an interaction (collectively, “Synergy Advantage,” “we,” “us,” or “our”) collect, use, disclose, retain, and protect personal information in connection with:
- our website at https://synergyadvantage.com/ and its forms and features (the “Site”);
- business inquiries, proposals, and relationship management;
- our operational and marketing SMS/text-messaging programs;
- recruiting and job applications; and
- other interactions where this Policy is provided or referenced.
This Policy does not replace a privacy notice provided by one of our business clients or a separate notice or agreement that expressly governs a specific service, system, employment relationship, or data set.
1. Our Role in BPO and Client Services
Synergy Advantage provides business-process outsourcing, customer-experience, staffing, operational, and technology-enabled support services. Depending on the engagement, our work may include customer support through voice, chat, email or social media; sales support and lead generation; virtual assistance; appointment and workflow support; digital marketing and content services; project management and quality assurance; accounting, bookkeeping, payroll, human-resources, reporting and data-analysis support; seat leasing; and VoIP or related infrastructure services.
For information collected directly through our Site, recruiting, or our own business communications, Synergy Advantage generally decides why and how the information is processed.
When we process information on behalf of a business client—including information relating to the client’s customers, patients, policyholders, employees, applicants, or other users—we generally act as a service provider or personal-information processor under the client’s instructions and our contract. The client determines the purposes of that processing, and the client’s privacy notice and choices apply. Requests about client-controlled information should normally be directed to that client. We will assist the client as required by contract and applicable law.
2. Personal Information We May Collect
The information we collect depends on how you interact with us.
Information you provide directly
- Contact and identity information: name, business name, email address, telephone number, mailing address, job title, and similar identifiers.
- Inquiry and business information: subject, message, service interests, project requirements, organization details, correspondence, meeting notes, and information needed to prepare or manage a proposal or relationship.
- SMS information: mobile number, program selections, consent records, date, time and source of enrollment, messages and replies, delivery status, and opt-out or help requests.
- Recruiting information: résumé or CV, employment and education history, qualifications, skills, availability, work authorization, location preferences, references, interview information, and other information you choose or are asked to provide during an authorized application process.
- Other submissions: feedback, support requests, attachments, or other information you voluntarily send.
Information collected automatically
When you use the Site, we and our service providers may automatically collect IP address, browser and device type, operating system, language, approximate location derived from IP address, referring and exit pages, pages viewed, dates and times, form and security events, and cookie or similar-technology identifiers. We use this information for operation, security, troubleshooting, measurement, and improvement.
Information from other sources
We may receive information from business clients, service providers, recruiting sources, professional networks, publicly available business sources, referrals, communications platforms, and other parties that are permitted to provide it. When we act for a client, information obtained from the client is handled under that client relationship.
Please do not submit sensitive information through general forms
Do not use a general Site form to submit protected health information or medical records, payment-card data, bank credentials, account passwords, government identification numbers, highly sensitive personnel records, or urgent or emergency information. If sensitive or regulated information is needed for an authorized client or recruiting process, use only the method and instructions provided for that purpose.
3. How We Use Personal Information
We may use personal information to:
- receive, evaluate, and respond to inquiries and requests;
- communicate about proposals, services, projects, scheduling, onboarding, and account or relationship updates;
- provide, operate, support, secure, and improve the Site and our services;
- perform BPO and other contracted services for clients under their instructions;
- manage operational SMS messages that you request or consent to receive;
- send promotional SMS or other marketing only where we have an appropriate consent or other lawful basis, and maintain suppression and opt-out records;
- evaluate candidates, administer recruiting, and maintain appropriate applicant records;
- authenticate users, prevent fraud and abuse, monitor security, troubleshoot, and protect people, systems, and rights;
- measure Site performance and understand engagement;
- manage vendors, records, audits, contracts, and business operations;
- establish, exercise, or defend legal claims; and
- comply with law, regulatory requirements, court orders, and lawful requests.
Depending on the context and applicable law, we rely on consent, performance of a contract or steps requested before a contract, compliance with legal obligations, and legitimate business interests that are not overridden by applicable privacy rights. Where consent is required, you may withdraw it as described below, without affecting processing that was lawful before withdrawal.
4. SMS and Marketing Choices
Our operational and marketing SMS programs use separate, optional enrollment choices. Selecting the operational option permits transactional or informational messages about an inquiry, requested information, scheduling, services, or account updates. Selecting the separate marketing option permits promotional messages about services and offers. Consent to marketing messages is not a condition of purchasing or receiving services.
Message frequency varies, and message and data rates may apply. Reply STOP to opt out and HELP for help. You may also contact info@synergyadvantage.com. We maintain consent and opt-out records as reasonably necessary to operate the program and demonstrate compliance.
Mobile phone numbers and SMS consent information—including SMS opt-in data and consent records—will not be sold, rented, shared with, or disclosed to third parties or affiliates for marketing or promotional purposes. We may disclose this information to messaging platforms, mobile carriers, aggregators, and other service providers acting on our behalf only as needed to deliver messages, maintain consent and opt-out records, provide support, protect the messaging program, or comply with law. These providers are not authorized to use the information for their own marketing or promotional purposes. Our Terms and Conditions contain additional SMS program terms.
5. Cookies and Similar Technologies
The Site may use cookies, pixels, local storage, logs, and similar technologies for essential operation, preferences, security, form functionality, performance, and measurement. Browser settings may allow you to block or delete cookies, but some Site features may not function correctly.
The Site may use third-party features such as anti-spam or CAPTCHA services, maps, social-media links, communications tools, and embedded content. These providers may collect information directly from your browser under their own privacy notices. We do not control third-party cookies or services.
6. How We Disclose Personal Information
We may disclose personal information to:
- affiliated entities and authorized personnel that need the information for the purposes described in this Policy;
- business clients when we process information for them, respond to a matter concerning them, or perform contracted services under their instructions;
- service providers supporting hosting, website operation, forms, email, CRM, communications, SMS delivery, security, analytics, recruiting, document management, professional advice, and other business functions;
- professional advisers such as lawyers, accountants, auditors, insurers, and consultants subject to appropriate duties;
- authorities or other parties when we reasonably believe disclosure is required by law or legal process, or is necessary to protect rights, safety, security, systems, clients, users, or the public; and
- transaction participants in connection with a proposed or completed merger, financing, reorganization, sale, acquisition, transfer, insolvency, or similar business event, subject to applicable confidentiality and legal requirements.
The disclosures described above are subject to our SMS-specific commitment in Section 4. We do not share mobile phone numbers or SMS consent information with third parties or affiliates for marketing or promotional purposes.
We may disclose aggregated or de-identified information that cannot reasonably identify an individual, subject to applicable law and contractual restrictions.
7. International and Cross-Border Processing
Synergy Advantage has operations in Canada and the Philippines and may use service providers or support business clients in other countries. Personal information may therefore be processed outside the jurisdiction where it was collected. Privacy and government-access laws in those locations may differ.
Where required, we use contracts and other measures designed to require appropriate confidentiality, security, purpose limitations, and lawful handling for cross-border processing. When we act for a client, the client agreement and instructions govern approved processing locations and safeguards.
8. Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to respond to inquiries, manage relationships and recruiting, provide services, maintain consent and suppression records, meet contractual commitments, protect security, comply with law, and establish or defend claims.
Retention periods vary by data type and context. We consider the purpose of collection, sensitivity, volume, risk, applicable limitation periods, legal and contractual requirements, client instructions, and whether the information can be deleted, de-identified, or aggregated. When information is no longer required, we take reasonable steps to securely delete, destroy, or de-identify it, subject to permitted backups and legal holds.
9. Security
We use administrative, technical, organizational, and physical safeguards designed to protect personal information in light of its sensitivity and the risks involved. Measures may include access restrictions, confidentiality obligations, training, system monitoring, vendor controls, incident procedures, and security protections appropriate to the relevant environment.
No Internet transmission, messaging system, or storage method is completely secure. We cannot guarantee absolute security. You are responsible for using appropriate channels, protecting account credentials, and not sending sensitive information through an unapproved method.
10. Your Rights and Choices
Depending on your location and the law that applies, you may have rights to:
- know whether and how we process personal information and obtain access to it;
- request correction of inaccurate or incomplete information;
- request deletion, erasure, restriction, blocking, or objection to certain processing;
- withdraw consent where processing is based on consent;
- receive certain information in a portable format;
- opt out of marketing communications, targeted advertising, sale, or sharing as those terms are defined by applicable law;
- not be discriminated against for exercising a protected privacy right; and
- complain to an appropriate privacy or data-protection regulator.
To make a request, email info@synergyadvantage.com with the subject line “Privacy Request.” Describe your relationship with us, the right you wish to exercise, and the information involved. We may need to verify your identity and authority before acting. We will respond within the period required by applicable law. Rights may be subject to exceptions, and if we process the information solely for a client, we may direct your request to that client.
You may opt out of email marketing using the unsubscribe method in the message. For SMS, reply STOP. Even after a marketing opt-out, we may send non-promotional communications that are permitted or required, such as responses you requested, service or security notices, and opt-out confirmations.
Canada
If Canadian privacy law applies, you may request access to and correction of personal information under our control, withdraw consent subject to legal or contractual limits and reasonable notice, and challenge our compliance. You may also contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy regulator.
Philippines
If the Philippine Data Privacy Act applies, you may have rights to be informed, access, object, correct, erase or block, obtain data portability where applicable, file a complaint, and seek damages as provided by law. You may contact the National Privacy Commission regarding a concern.
United States
Residents of certain U.S. states may have additional rights to know, access, correct, delete, or obtain a copy of personal information and to opt out of certain sale, sharing, targeted advertising, or profiling. These rights apply only where the relevant law covers Synergy Advantage and the information at issue. We do not sell personal information collected through the Site’s contact form or SMS enrollment, and we do not share mobile opt-in information for third-party marketing. You may contact us to exercise an applicable right or appeal a decision where the law provides an appeal.
11. Children
The Site and our business services are not directed to children under 16, and we do not knowingly collect personal information from children through the Site. If you believe a child has provided personal information without appropriate authorization, contact us so we can review and take appropriate action. Client-directed services involving younger individuals, if any, are governed by the client’s instructions, notices, and applicable law.
12. External Links and Third-Party Sites
The Site may link to third-party websites or platforms. Their privacy practices are governed by their own notices, not this Policy. Review those notices before providing information.
13. Changes to This Policy
We may update this Policy to reflect changes in our practices, services, technology, or legal obligations. The “Last updated” date indicates the latest revision. We will provide additional notice or obtain consent when required by applicable law.
